Receipting, Returns & Asset Registration

Front Office supports registration of receipts against individual request items, recording of associated asset information and recording of ‘returns’ against previously receipted items. This functionality is controlled via system settings and access profile rights for users.

The following Access Rights control who can carry out which receipting functions within the system once the Receipting functionality is activated:

  • Receipt all requests (the Requester and Requested For against a request will automatically have rights to receipt against their own requests)
  • Receipting Administrator (allows Receipts to be changed and outstanding items closed)

Once enabled, Receipting, Asset assignment and Returns are manually registered against individual requests by accessing the Receipt tab on the Request Summary screen or auto receipting rules can be configured via Admin area Settings > Auto-Receipting.

By default, multiple quantities will be rolled up to display a single supplier/item line. If receipting is required at the same level as the items on the request, a line number will be displayed on the receipting pages, to match the line number displayed on the Request Summary.

Receipting, Asset and Returns information can be exported from Front Office to an external system. This functionality is controlled by a system configuration setting and the export details are configured via the Adapter section.

Auto-Receipting

Auto-Receipting can be configured to apply to suppliers, commodity types, or values, and any combination of these three options; as many rules as required may be created. A receipt will be created post request approval complete if any rule matches.

Enabling Asset Registration on Receipting

It is possible to register asset-related details when receipting an item. The relevant system configuration setting must be activated to enable this functionality.

When a receipt is created the user can enter an Asset Number, a Serial Number, or an Additional Reference. Once entered, assets may be cleared/edited until final committal using the ‘ok’ button, after which point no further changes may be made.

Any added Asset information is included in the Receipt Export (if used) and can be viewed within a collapsible panel in the Receipted tab against a request

Returns

It is possible to create a return note against a Receipt, via the Receipt menu against individual requests. This is for internal record accuracy only and no system-generated communication will be made with the supplier.
